Grievance Redressal Mechanism
The college has a Grievance Redressal Cell to redress the grievance of its stakeholders. The students approach the cell to voice their grievances regarding academic matters health services, library and other services. A Student may send his/her grievance to the Principal over email or put the note in the Grievance box in at Administrative Block. The cell redresses the grievances by sorting out the problems promptly and judiciously.
Objectives:
The objective of the Grievance Cell is to develop a responsive and accountable attitude among all the stakeholders in order to maintain a harmonious educational atmosphere in the institute.
- Upholding the dignity of the College by ensuring strife free atmosphere in the College through promoting cordial Student-Student relationship and Student-teacher relationship etc.
- Encouraging the Students to express their grievances / problems freely and frankly, without any fear of being victimized.
- Suggestion / complaint Box is installed in front of the Administrative Block in which the Students, who want to remain anonymous, put in writing their grievances and their suggestions for improving the Academics / Administration in the College.
- Advising Students of the College to respect the right and dignity of one another and show utmost restraint and patience whenever any occasion of rift arises.
- Advising All the Students to refrain from inciting Students against other Students, teachers and College administration.
- Advising all staffs to be affectionate to the Students and not behave in a vindictive manner towards any of them for any reason.
- Ragging in any form is strictly prohibited in and outside the institution. Any violation of ragging and disciplinary rules should be urgently brought to the notice of the Principal.
Scope:
The cell will deal with Grievances received in writing from the students about any of the following matters:-
- Academic Matters: Related to timely issue of duplicate Mark-sheets, Transfer Certificates, Conduct Certificates or other examination related matters.
- Financial Matters: Related to dues and payments for various items from library, hostels etc.
- Other Matters: Related to certain misgivings about conditions of sanitation, preparation of food, availability of transport, victimization by teachers etc.
Functions:
- The cases will be attended promptly on receipt of written grievances from the students
- The cell formally will review all cases and will act accordingly as per the Management policy
- The cell will give report to the authority about the cases attended to and the number of pending cases, if any, which require direction and guidance from the higher authorities.
Procedure for lodging complaint:
- The students may feel free to put up a grievance in writing/or in the format available in the admin dept. and drop it in boxes
- The Grievance Cell will act upon those cases which have been forwarded along with the necessary documents.
- The Grievance Cell will assure that the grievance has been properly solved in a stipulated time limit provided by the cell.

Infrastructure Maintenance and Utilization Policy
The Institution has well established system and procedure for maintaining and utilization of physical, academic and support facilities. For optimal utilization of Infrastructure, physical and academic facility, the college run in two shifts morning session for UG and afternoon session for community college as well as certificate courses. The infrastructure is also made available for government and non government agencies for the social welfare activities. For the maintenance of these facilities, a systematic policy is adopted through making budgetary provision and subjected approval of college development committee.
Physical Facilities:
The College is protected under property insurance cover including equipments, library, sports, fitness equipment and IT. Physical facilities related maintenance is done regularly as per requirement. Toilets and Bathrooms are maintained by sweeper. Various equipments like generator, vending machine, inverter, water purifier, fire extinguisher, CCTV etc. are available. The college is not provided any grants or fund to appoint separate staff for maintenance by the government. Maintenance is made by college as and when required. All equipments are maintained by respective technicians. Gardener, sweeper and technicians work on need based payment.
Academic and Support Facilities:
The college has made available modern teaching aids like LCD projectors. Xerox machines, cameras, public address systems, software required for academics are made available. For the maintenance of these equipments, we hire local service provider on need basis. Laboratory: Recurring and non recurring register is maintained by every department. Local technicians are hired as per requirement for maintenance of equipment
Library:
All security measures are taken as per rules of library science. The library is insured. A fire extinguisher system is available in the central library. Book Binding is done as per need to the books and back volumes annually. The library is secured by providing additional channel gate.
Computers:
Computers, printers, Scanners Computer software and hardware are maintained as per requirement. Office automation software is covered under AMC, Antivirus is updated regularly.
Classrooms:
Class rooms are well maintained and kept neat and clean by our college employees. Electricity material and furniture are maintained as the local service providers are hired as per requirement.
Laboratories:
The purchases of Lab equipments is done by calling quotations a from vendors by a purchase committee. Every department maintains accession and stock register . Every year at the beginning a stock verification committee takes review of recurring and nonrecurring items . If any instrument is out of order then concerned HoD call a local Serviceman and get maintained that instrument.

IT Policy
Purpose:
The purpose of this document is to inform members (faculty, staff, students, alumni, guests, etc) of Azad Mahavidyalaya Ausa of what can be expected in terms of Information Technology (IT). This covers the use of all computers and other related hardware such as printers and projectors and the use of the network infrastructure
Policy Statement:
Azad Mahavidyalaya Ausa makes computers, communication devices, e-mail, intranet and internet resources (collectively the “Information Resources”) available to authorized users to assist them in performing their work, conducting Azad Mahavidyalaya Ausa (Autonomous) business and completing their educational studies. Use of these Information Resources for any purpose that is not specifically related to these purposes is prohibited, except for incidental personal use as defined in this policy.
Scope:
This policy governs the use of “IT Resources”, which include IT services, facilities and equipment the College owns or operates for the use of employees, students and others. All information stored in any form on IT Resources (e.g., in documents, video streams, audio recordings, etc.) and all communications transmitted in any manner using IT Resources (e.g., via e-mail, text-message and voice mail) are governed by this Policy.
This Policy also governs the use of social networking sites by employees and students whether or not such use relies upon IT Resources.
Review Period:
The content controller of this Policy will conduct a review of this Policy when significant business process changes occur, to ensure the information contained herein is current and applicable.
Rules and Responsibities
- Take appropriate steps to ensure the security of Information Resources by adhering to all applicable security measures including using and safeguarding all necessary passwords.
- Use complex passwords and avoid using common sequences (e.g. 12345) or readily identified information (e.g. name, address, phone number, spouse’s name, etc.);
- Use only computer IDs or accounts and communication facilities which they are duly authorized to use, and use them for the purposes for which they were intended; and respect copyrights, software licenses, intellectual property rights and contractual agreements
Prohibited Activities
The following activities are strictly prohibited:
- Access College equipment, facilities, networks, information or accounts without authorization.
- Grant another individual access to one’s own information technology account by sharing a password or by any other means.
- Use IT Resources to intentionally interfere with the work of other students, faculty members or college officials.
- Access, create, publish or communicate information that is obscene, pornographic, abusive, defamatory, derogatory, threatening, violent or harassing, including material that may interfere with other individuals’ rights under the Human Rights Code or the Occupational Health and Safety Act
- Display, transmit, distribute or make available information that expresses or implies discrimination or an intention to discriminate
- Use IT Resources to intentionally interfere with the normal operation of IT Resources including, but not limited to, flooding the network with messages, sending chain letters or pyramid solicitations, spreading viruses, etc.
- Use, disclose, copy, modify or delete information stored on IT Resources without authorization
- Use IT Resources for personal or political causes or for personal commercial gain.
- Gather other individuals’ personal information under false pretences or for unlawful gain
- Create and/or use world-wide web information pages or links to point to offending materials that conflict with rights and interests protected by Law
- Send bulk commercial electronic messages without authorization from the College
E-mail communications
All E-mails created or transmitted on IT Resources must comply with the rules for use of College IT Resources set out above.
Social networking sites
In addition, the College prohibits the following activities whether or not it is facilitated by the use of College IT Resources:
- Publishing any College information on social networking sites or the Internet that is confidential and has not been approved for public disclosure
- Using social networking sites or publishing comments, opinions or statements for work-related purposes without College authorization
- Implicitly or explicitly giving the impression that comments, opinions, statements made on social networking sites or the Internet represent the views/beliefs/stance of the College without prior approval from the College

Research Policy
- Rapid growth in scientific knowledge is an indication of quest for discovery and has an impact on economic and societal development. Science, technology and innovation is often initiated at the college research environment .Research and developmental activities creates and disseminates new knowledge in range of fields, promotes innovation and these will motivate better learning and teaching among faculties and students of our college as these are often incorporated in the courses. Research is the foundation of knowledge that brings new energy, builds state of the art facilities, promotes research publications, develops collaborations and becomes part of active community that shares the mission objectives. Taking these into considerations, following Research Policy is implemented.
1. Purpose
- The purpose of the Research Policyis to create a vibrant atmosphere of research among faculty and researchers in Azad Mahavidyalaya Ausa . The policy shall serve as an overall framework within which research activities may be carried out.
2. Scope
- This is a college Research Policy. It is implementable in all departments of college .
3. Objectives
To create an enabling environment within college in order to foster a research culture as well as provide required support through research framework and guidelines.
To ensure high level of efficient and effective support system to facilitate faculty and researchers in their research activities.
Ensure publications in quality journals included in UGC CARE list , indexed in Scopus/Web of Science with impact factor.
To nurture an environment of undertaking socially useful research with potential for commercialization.
Forge interdisciplinary collaborations and partnerships nationally and globally.
4. Custodian of Policy.
- The implementation and updating of Research Policy shall be carried out by Principal Azad Mahavidyalaya Ausa. The Research Policy shall have a Research Advisory Committee which functions under Principal , to assist and advise in matters related to research.
5. Policy and Guidelines
- The college will facilitate the research activities by providing infrastructural facilities. The college will allocate space, facilities, and other resources for research programs based on the scholarly and educational merits of the proposed research.
- , the college will provide financial assistance to enhance infrastructural facilities in terms of modern sophisticated instruments and equipment for the purchase of equipment / instruments and thus support the staff and students to carry out the research work at college.
- Based upon the recommendations of the Research Advisory Committee, the College will provide necessary leave such as leave under FDP for the completion of Ph. D., research work and short term visits to research institutes, to participate in various research training programs.
- The college will encourage the faculties to attend the research training programmes in India or abroad.
- The college will support the departments for the organization of State, National and International level conferences.
- The college will also sanction a substantial budget for the purchase of reference books of various subjects from all streams, research journals/magazines and to subscribe the online research journals.

Utilization and Maintenance Policy
The college has established system for maintenance and utilization of computers, classrooms, sports gymkhana, laboratories equipment’s and physical facilities. The procedure and policy for the maintenance of various infrastructural facilities are presented in this document.
Purpose of the Policy
- The physical and academic facilities are implemented with policies to optimize the use of resources based on needs of education, research and administration.
- The coordination between facility allocation and utilization ensures the optimal usage of resources like laboratories, sports gymkhana, library and classrooms inside the campus.
- For this Infrastructure and Maintenance Committee of the college plays important role. The committee reviews the requirements of infrastructure and the same will be discussed in the College development Committee (CDC) meetings.

Sustainable Building Policy
- In order to create a more holistically sustainable campus, it is imperative that the Azad Mahavidyalaya, Ausa adopt a policy for new building spaces that is consistent with its other sustainability commitments and initiatives.
- Campus Committee for Sustainability (CCS) recognizes that any growth or new building construction could potentially put College even further from its long-term environmental and climate commitments, including those towards energy and waste reduction.
- The Sustainable Building Policy formalizes and codifies Azad Mahavidyalaya’s commitment to sustainable design for all new building spaces on its campuses.
- The policy addresses a wide range of areas in sustainability, including energy use; discarded resource management, water use, and the selection of building materials, through outlining minimum standards that must be achieved through the design and operation of all new building spaces.
- The standards stated in this policy are intended to inform Campus Planning and Building Committee (CPBC), the Buildings and Grounds Committee, and the College as they develop goals for future building projects and work with each project’s architect and general contractor to ensure the sustainability of any new building space and documentation of efforts towards sustainability made during the design and construction process.
- These standards apply only to the design and long term operational life of the new building space, and not to the construction period.
- The implementation of these standards should maintain or increase the quality of life for those who utilize, occupy, and/or maintain the new building space.
- In this policy, a “new building space” refers to any renovation or addition made to an existing building or to the construction of any new building or structure unless otherwise specified in this document.
ANTI RAGGING POLICY FOR (Prohibition, Prevention & Punishment) ANTI-RAGGING RULES :
Ragging is strictly prohibited in the college premises. If anybody found indulged in such kind of activities, strict action will be taken irrespective of the extent. Supreme Court of India has banned ragging. In order to prevent such activity in campus, several committees have been developed and brought into operation even before the start of 1st year classes by the Director / Principal.
Ragging in any form is strictly prohibited within the premises of the college/department/classroom as well as on public transport. Any individual or group of individuals who indulge in an act or practice of ragging constitutes gross indiscipline and such individual/ groups shall be dealt with as per the ordinance. This includes individual or collective acts or practices that involve physical assault or threat or use of physical force, which violate the status, dignity, and honor of any student.
Students shall not:
- Violate the status, dignity and honor of girl students.
- Violate the status, dignity and honor of SC and ST students.
- Expose students to ridicule and contempt thereby affect their self-esteem.
- Entail verbal abuse and aggression indecent gestures and obscene behavior.
- The Principal / the Anti ragging committee shall take immediate action on any information of the occurrence of ragging.
What Constitutes Ragging ‐
Ragging constitutes one or more of any of the following acts:
a. Any conduct by any student or students whether by words spoken or written to by an act which has the effect of teasing, treating or handling with rudeness a fresher or any other student.
b. Indulging in rowdy or indiscipline activities by any student or students which causes or is likely to cause annoyance, hardship, physical or psychological harm or to raise fear or apprehension thereof in any fresher or any other student.
c. Asking any student to do any act which such student will not in the ordinary course do and which has the effect of causing or generating a sense of shame, or torment or embarrassment so as to adversely affect the physique or psyche of such fresher or any other student.
d. Any act a senior student that prevents, disrupts or disturbs the regular academic activity of any other student or a fresher.
e. Exploiting the services of a fresher or any other student for completing the academic tasks assigned to an individual or a group of students.
f. Any act of financial extortion or forceful expenditure burden put on a fresher or any other student by students.
g. Any act of physical abuse including all variants of it sexual abuse, homosexual assaults, stripping, forcing absence and lewd acts, gestures, causing bodily harm or any other danger to health or person.
h. Any act or abuse by spoken words, emails, post, public insults which would also include deriving perverted pleasure, vicarious or sadistic thrill from actively or passively participating in the discomfiture to fresher or any other student.
i. Any act that affects the mental health and self‐confidence of a fresher or any other student with or without an intent to derive a sadistic pleasure or showing off power, authority or superiority by a student over any fresher or any other student.
Action Contemplated against students for indulging in and abetting ragging in the college.
Maharashtra Prohibition of Ragging Act 1999 which is in effect from 15th May 1999 has the following provision for action against ragging.
Depending upon the nature and gravity of the offence as established, the possible punishments, for those found guilty of ragging at college level shall be anyone or combination of the following.
- Cancellation of admission.
- Suspension from attending classes.
- With holding / withdrawing scholarship / fellowship and other.
- Debarring from appearing in any test / examination or other evaluation process withholding results.
- Debarring from representing the Institution in any regional, national or international meet, tournament, youth festival, etc.
- Suspension / Expulsion from the hostel.
- Rustication from the Institution for period ragging from 1 to 6 semesters.
- Expulsion from the Institution and consequent debarring from admission to any other Institution.
- Collective punishment: When the persons committing or abetting the crime of ragging are not identified, the Institution shall resort to collective punishment as a deterrent community pressure on the potential raggers.
PLEDGE TO BE ADMINISTERED TO THE STUDENTS
I, a bonafide student of BA / BCOM / BSC II / III Year at AZAD MAHAVIDYALAYA, AUSA do hereby solemnly pledge that
1) I shall not indulge in any ragging activities either directly or indirectly, either on the campus or outside thereof.
2) I further pledge that I shall treat all my junior students and also other students as my brothers and sisters at all times.
3) I shall maintain cordial atmosphere on the campus and shall follow strict discipline. I shall report any incident of ragging to the concerned authorities as soon as it comes to my notice.
4) I shall say no to ragging and shall not be a party to ragging either as a participant or as an abettor; and
5) I shall do all that is possible to make my institution a better place for learning, enlightenment and enjoyment.

Campus Environmental Initiative as College policy
The mission of College Campus Environmental Initiative is to prioritize an environmental responsibility into all policies, programs and practices.
The core of the initiative is a strategic plan to be used as a reference for staff, faculty and students. The plan identifies aspects of management where resources are not environmentally and economically efficient. In such areas community members will work to implement more sustainable alternatives.
The success of the Initiative will be evaluated periodically through environmental audits that evaluate its progress in achieving the following goals and commitments:

Environmental Policy
i. To create awareness regarding environmental policy amongst the students and the management.
ii. To maintain pollution free campus by avoiding tobacco, pan-masala, chewing on the campus. As per the govt. rules and regulations regarding the instructions of tobacco free campus signboards are displayed at various places on the campus.
iii. To Use Solar Energy on College Campus by installing Solar Lamps and Solar water Heaters in Girls and Boys hostels.
iv. To sensitize the students and staff regarding the use of drinking water properly for which, we have provided purified (RO aqua-guard) drinking water facilities on the campus.
v. To bring in use the ‘Rain Water Harvesting’ on the campus. We have collected the rain water from the college roof and it is percolated in the land.
vi. To observe ‘No Vehicle Day’ and keep the campus vehicle free. It helps to save the fuel, avoids the environmental pollution.
vii. To maximize the use of ICT and minimize the use of paper. It will help to go towards ‘Paperless Office’.
viii. To use the solid waste through vermin-compost on the campus and use it as a fertilizer.
ix. To reduce the ‘sound pollution in the campus, we have built the seating arrangements in the shade of trees in our campus.
x. To use ‘Use me’ Dry and Wet dust bins in the college campus so as to keep college campus clean
xi. Improve the campus environmental performance, reduce environmental risks and impacts, and achieve financial savings.
Green Campus Policy
Green-Campus is holistic aiming to make environmental awareness and action an intrinsic part of the life and ethos of educational facilities. This should include the students, academic staff, non-teaching staff, as well as media, local business, contractors and visitors. Green-Campus endeavors to extend learning beyond the classroom/lecture theatre to develop responsible attitudes and commitment, both at home and in the wider community. Green-Campus does not aim to reward specific environmental improvement projects, or only those third level institutes that are able to invest financially in large scale projects; instead it rewards long term commitment to continuous improvement from the campus community.
Green-Campus offers institution opportunities to:
• Provide a forum for management, academic staff and students to meet and engage on environmental issues.
• Empower students and staff to create a more balanced campus community.
• Involve a wider variety of the campus community in environmental decision-making.
• Improve learning on campus through development of student’s confidence and sense of citizenship through participation, research and transferrable skills, introduction to new topics and by using data currently generated on site through investigative and problem based research.
• Supply fresh ideas for research topics, final year projects and events within the institution. • Gain access to a wider network of support agencies.
• Improve the campus environmental performance, reduce environmental risks and impacts, and achieve financial savings.
• Set a good example in the community and to provide guidance to and involve local stakeholders.

Freeship and Nutritious food for sportsmen
Policy Document for Freeship and Providing Nutritious food to Sportsman Freeship Every year students belonging to poor families or economically weaker families may be given freeship in institutional fees. The procedure to take benefit of freeship a student has to submit application to Principal for freeship and meet personally to Principal in his office. Then Principal will enquire the student about his / her economic condition. On finding truth in say of student, he will take decision for grant of entire freeship or partial concession in fees for that year. At the time of collecting dues while issuing leaving certificate or at the time of submitting examination form to university, the review of fee details will be taken and freeship will be given. Supply of Nutritious food to Sportsman Most of the students belong to poor families from rural area around the college. Few students from such families show excellent performance while practicing sports activities namely soft ball, base ball, athletics etc. But they cannot arrange for nutritious food at home for long stamina. Such students are identified by sports committee and list is submitted to Principal for supply of nutritious food. Principal gives permission to supply nutritious food and fruits to them after practicing the sports activity on college ground.
